HRIS Sync
What HRIS Sync is, what it syncs, and how to set it up
HRIS Sync automatically imports your employees from your HR system (Personio or Microsoft Entra, previously called Azure AD) into onyo and deactivates people who are no longer eligible. It replaces the manual employee import.
What gets synced?
Always: first name, last name, email address, employment status, and employment type.
Optionally, depending on the provider and the permissions you grant:
- address and phone number
- department, team, office, legal entity, and cost center – these are imported as groups and can be used for filtering
- a budget value from a custom field
How does the sync run?
Once set up, onyo syncs automatically every hour. On the HRIS Sync page (Settings → General → HRIS Sync) you can also start a sync immediately at any time.
Who gets deactivated?
onyo automatically deactivates employees as soon as they no longer meet the import criteria you defined (e.g. when their employment status changes or they are removed from a selected group) or when they are deleted in your HR system. Deactivated people can no longer sign in to onyo but are kept along with their history – and are automatically reactivated if they meet the criteria again later. This means you no longer have to remove departed employees manually.
Setup
- On the HRIS Sync page, choose your HRIS provider.
- Enter your HR system's credentials and click "Save changes".
- Then set the sync settings: employment statuses, employment types, and HRIS groups (leave empty to import all current and future groups). These settings and the group list only appear after the connection has been saved, because the group list is fetched live from your HR system.
